This Privacy Policy describes how The Cantwell LLC ("we", "us", "our") collects, uses, and shares personal information when you use Groundskeeper (the "Service"). If you do not agree with this policy, do not use the Service.

• We collect the account information you provide and the content you put into the Service.
• We use it to provide, secure, and improve the Service and to communicate with you.
• We share it only with the service providers needed to run the Service (listed below).
• We do not sell your personal information and do not use it for third-party advertising.

1. Information we collect

You provide: name, email address, password, and the project content, files, notes, and meeting information you create or upload ("Customer Content").

Collected automatically: basic technical and log data (IP address, browser/device type, timestamps, actions in the app) needed to operate and secure the Service.

We do not knowingly collect sensitive personal information and do not collect data from children under 18.

2. How we use information

To create and manage your account; to deliver and improve the Service, including AI-assisted features that process Customer Content; to provide support; to send service-related and administrative messages; to secure the Service and prevent fraud; and to comply with law.

3. Service providers (sub-processors)

We share information with the providers that power the Service, under contracts that limit their use of it:

• Vercel — application hosting and infrastructure (serves the Service and processes related network and log data).
• Supabase — database hosting, authentication, and file storage.
• Stripe — payment processing (your card details go directly to Stripe).
• Anthropic — AI processing of Customer Content to power AI-assisted features. Your inputs and outputs are processed by Anthropic to provide those features.
• Fireflies — meeting transcription, when you connect your own Fireflies account to import meeting transcripts.

We may also disclose information for legal compliance or in connection with a business transfer (e.g., merger or acquisition), under the protections of this policy.

4. AI processing

The Service offers AI-assisted features provided through Anthropic. Customer Content you submit to those features is shared with and processed by Anthropic to generate output for you, in line with this policy and our agreement with that provider.

5. Data retention

We keep personal information for as long as your account is active and as needed to provide the Service, then delete or anonymize it unless a longer period is required by law (for example, tax or accounting).

6. Security

We use reasonable technical and organizational measures to protect personal information. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.

7. Your rights

Depending on where you live (including US states such as California, Colorado, Connecticut, Texas, Virginia, and others), you may have rights to access, correct, delete, or obtain a copy of your personal information, and to appeal a denied request. 8. Changes to this policy

We may update this policy. The updated version is indicated by a revised date and, for material changes, additional notice where appropriate.
